Job Purpose
The Crewing Coordinator is responsible for the efficient and compliant manning of our offshore support vessels. This role involves managing the full crewing lifecycle, from sourcing and mobilization to documentation and payroll, ensuring all crew members are qualified, certified, and ready for deployment in accordance with company standards and international maritime regulations.
Key Responsibilities
Crew Management & Administration
- Coordinate and execute all crew changes and rotations to ensure vessels are adequately staffed at all times, minimizing operational disruptions.
- Manage the end-to-end recruitment process, including sourcing, screening, and vetting a qualified pool of officers and ratings for our fleet.
- Liaise with crewing agencies to ensure a smooth recruitment process that complies with company contracts, standards, and remuneration packages.
- Prepare and submit accurate crew timesheets and payroll for assigned vessels.
- Utilize and maintain the company's Crewing System (MOMS) for all crew sign-on and sign-off procedures.
Compliance & Documentation
- Verify and maintain all crew documentation, ensuring that all seafarers hold valid certificates in accordance with STCW (Standards of Training, Certification and Watchkeeping for Seafarers) and other relevant IMO (International Maritime Organization) standards.
- Ensure all crew members possess the required original certification and that copies are filed appropriately for company records.
- Stay up-to-date with all local and international maritime regulations and flag state requirements to ensure full compliance.
- Serve as the primary point of contact for external audits related to crew documentation.
Logistics & Communication
- Coordinate with Port Captains and Engineers to anticipate crewing needs and plan timely crew changeovers.
- Arrange all logistics for crew travel, including flights, transportation, and accommodation for both joining and repatriating crew.
- Maintain strong communication with vessels, agencies, and crew members to manage expectations and resolve any logistical issues promptly.
Skills
Required Skills & Qualifications
- Educational Background: Bachelor's degree in Maritime Studies, Business Administration, Human Resources, or a related field.
- Experience: Minimum of 3-5 years of progressive experience in a crewing, marine operations, or maritime HR role, preferably within the Offshore Support Vessel (OSV) industry.
- Knowledge: Solid understanding of international maritime regulations, including STCW and MLC (Maritime Labour Convention).
- Technical Skills: Proficiency in Microsoft Office Suite and experience with crew management software (e.g., MOMS).
- Organizational Skills: Exceptional attention to detail, strong planning and time management skills, and the ability to handle multiple tasks under pressure.
- Communication: Excellent verbal and written communication skills with the ability to negotiate and build strong relationships with agencies, crew, and internal stakeholders.
