Job Summary:
We are looking for a competent Receptionist to manage our front desk on a daily basis and to perform a variety of administrative and clerical tasks. As the first point of contact for our company, the Receptionist will create a positive and friendly impression upon guests, visitors, and employees.
Job Responsibilities:
- Greet and welcome guests in a courteous and professional manner.
- Answer and direct incoming calls and handle inquiries in a timely and efficient manner.
- Maintain a clean and organized reception area, ensuring it is presentable at all times.
- Keep track of visitors entering and exiting the premises, issuing visitor badges as required.
- Receive and distribute mail, packages, and deliveries, coordinating with relevant departments.
- Perform various administrative tasks such as data entry, filing, and managing office supplies.
- Schedule and coordinate appointments and meetings, ensuring the availability of necessary resources.
- Assist in the coordination of travel arrangements and accommodation for staff and visitors.
- Assist in coordinating and organizing office events and meetings, including catering arrangements.
- Maintain a professional and friendly demeanor to create a positive first impression of the company.
Candidate Requirements:
- Proven experience as a receptionist, administrative assistant, or similar role.
- Excellent communication and customer service skills, with the ability to handle inquiries and diffuse difficult situations.
- Proficient in using computer applications such as MS Office (Word, Excel, Outlook).
- Ability to prioritize and multitask in a fast-paced environment.
- Strong organizational and time management skills.
- Attention to detail and accuracy in handling administrative tasks.
- Flexibility to adjust to changing priorities and adapt to different situations.
- Professional appearance and demeanor.
- Fluency in English (both written and spoken) is required; knowledge of other languages is a plus.
- High school diploma or equivalent qualification.
